Assistant Manager of Tourism Marketing and Groups

Full Time Experienced New York, NY Whitney Museum

The Assistant Manager, Tourism Marketing & Groups manages and expands the Museum’s group visitation business, with a focus on tourism, affinity, social, corporate, VIP, and education-based audiences. The role also provides key support for other marketing department initiatives in support of tourism and local audience development to maximize attendance and earned revenue.

The Assistant Manager will balance sales goals with audience engagement strategies, ensuring that all groups—from student tours to international visitors—experience the Whitney as a welcoming, inspiring, and iconic destination. The role will be responsible for cultivating, maintaining, and serving as primary contact for travel trade and FIT partnerships and enhancing the group and tourism visitor experience through customized offerings and streamlined operations.

Key Responsibilities

Group Sales

• Help lead sales strategy for domestic and international groups, including student, adult, senior, corporate, affinity groups, among other audiences.
• Manage inbound group sales inquiries and reservations, ensuring excellent customer service and timely communication. Implement follow up strategies to maximize repeat visitation and lifetime value.
• Manage group pricing, packages, and promotions in partnership with Marketing, Visitor Experience, Education teams. Align with other areas including on-site dining, retail, and other vendors for expanded offerings and to grow revenue per group.
• Identify and implement new systems and processes to streamline high-touch booking workflows and improve sales efficiency.


Marketing
• Execute marketing efforts for group and tourism constituencies via email, direct mail, online, and other advertising and communications channels.
• Support other marketing and media strategy initiatives that support tourism and local audience development to maximize attendance and revenue goals.

Relationship Engagement
• Demonstrate exceptional relationship management skills with group leaders, tour operators, online travel agencies, and travel agents to drive repeat engagement and business.
• Provide key support for tourism partners including NYC Tourism and Conventions, the Meatpacking BID, and other neighborhood and civic constituencies.
• Support contract negotiations with key partners; develop marketing and advertising collateral for distribution with Graphic Design and Marketing colleagues
• Represent the Whitney at trade shows, sales missions, and industry networking events, positioning the Museum as a premier cultural destination in New York City.

Visitor Experience and Operations
• Partner with Visitor Experience, Education, and Public Programs to ensure groups have a seamless and memorable visit.
• Manage scheduling for guided tours, private groups, and special experiences. Work closely with Education team, Teaching Fellows, and Volunteers to streamline operations and optimize group experience. Meet and greet groups to ensure a seamless visit.
• Develop resources and engagement tools to enhance group visits (e.g., itineraries, digital content, pre-visit guides).
• Serve as a point of contact on-site for VIP and high-priority groups as needed.
• Provide guidance and support for the Group Sales & Engagement assistant role.

Administration & Reporting

• Maintain CRM and ticketing systems with accurate group data and booking details. Advocate and liaison for group needs with Business Systems and Technology teams; and outside ticketing vendors.
• Prepare and distribute regular reports on group visitation and sales performance; respond to queries for group-related data.
• Identify new opportunities for audience growth and support annual planning for the marketing & groups departments
 

Preferred Qualifications

B.A. or relevant experience required
  • Bachelor’s degree or equivalent professional experience in tourism, marketing, arts administration, or a related field.
  •  3–5 years of experience in group sales, marketing, tourism, or audience engagement, preferably within an attraction, museum, cultural institution, or hospitality environment.
  • Strong interpersonal and communication skills with a customer-first mindset. Ability to represent the institution with integrity and stand in for department and division head for VIP visits.
  • Able to represent the Whitney in a polished and professional demeanor.
  • Demonstrated ability to meet sales goals and cultivate business relationships.
  • Experience with CRM or ticketing systems (e.g., ACME, Tessitura, Salesforce) strongly preferred.
  • Highly organized, detail-oriented, and comfortable managing multiple projects in a fast-paced environment.
  • Enthusiasm for modern and contemporary art, tourism, and the Whitney’s mission.
